PBX Telephone System

In order for our company to give quality customer service, we will need the best telephony network in our offices. To maintain a successful business it is critical for us to provide twenty four hour communications between offices. That is the reason why we have PBX telephone systems in our 3 offices.


In our Columbia office, we have the PBX telephone system. With the PBX system, each telephone is wired directly to the PBX. This eliminates having a separate line number and bill for each individual work station. The PBX is wired to the central office, so each telephone does not need its own line to the central office. This is the main reason why we decided use the PBX system, so we won't have to pay for separate telephone lines to each workstation, nor will we be charged for calls between people in the same office. Another reason is that we can always upgrade the PBX system to add capacity and new features rather than completely replacing it.


We bought the PBX Control Unit telephone system. This phone enables us to be more available to customers, more informative about our products and services, and more responsive to customer needs. It connects up to six telephone lines to a total of eight physical extensions and fifteen virtual extensions. The PBX has a full-featured digital Voice mail system built in. Each extension can be set up to have a Personal greeting. This provides each person with an extension to offer caller a personal greeting and suggestions on leaving voice mail or giving another extension or phone number to call for services or information.

WAN-(T-1 Circuits)

We will lease T-1 lines to connect the offices. We decided to go with the T-1's, because of the cost and the available bandwidth, and leasing these lines would be the best choice for our company financially, because the infrastructure is already in place, and we will not have to pay a full time crew to maintain and repair the lines if ever there is a break, thus relieving us of the responsibility of maintaining the lines. The Columbia office will be connected to the Myrtle Beach office, and the Charleston office. The Charleston office will be connected to the Columbia office and the Myrtle Beach office, and the Myrtle Beach office will be connected to to Columbia office and the Charleston office. We want redundancy between all the offices so that no matter what happens we will always have the ability to communicate with each other.


At each site we will have equipment set up to connect our inside infrastructures to the outside world. Each site has to have a switch box. In this box there will be 10 station cards, and 10 PR ISDN cards. The station cards will handle the routing of calls that are within the company. The PR ISDN cards will handle the calls that are outgoing. Each box will get connected to the PBX trunk that will route to the local Central Office.

Telephony Software

With each system there are several peripherals that are needed. Voice mail will be implemented for each associate so that they can always keep in touch with their respective clients. Call accounting will be used Because as a profit driven business, associates will need Automated Attendant. The last types of peripherals needed are faxes, modems and printers. Faxes are used for paper transfer, modems for our computer, and printers are going to be used for hard copy output.


With over 150 employees that we have in our Columbia office, and over 80 in our other two locations. This telephone system will provide us with the best and unique combination of call handling, voice mail, remote access, and customer care features that provide our company with the power we need to transform the way we communicate among our employees, and our customers.


Our Company focus is on Real Estate. Since our customers are our number ones priorities, we have chosen one of the largest company, Avaya Communications. They will be in charge to maintain our telephone system and hardware.

Redundancy

The reason why we decided to connect all three locations and have redundancy is, because two of our offices are located on the coast. With this in mind we want to be sure that if there is a major storm system at one of the locations were the phone system fails, then we will have connectivity through the other locations. To provide our customers with the best, we need to be connected at all times and be prepared if something happens in our offices.

Connectivity

Connectivity is very important in our business, since we have a real estate agency. We need to be connected so that if a customer at any location needs to sell or buy a house we will be able to reach any office through our own telephone network.

Redundancy (Number of Cards)

We want an extra redundancy station card per card in use so in worst-case failure we will always have enough cards to communicate. We want our business to have the best quality and customer service that is the reason why we need to think about the future. What if all our station cards fail at the same time, if we only have one or two extra cards it won't be enough to satisfy our business and customer needs. We decided our PRI's ratio to be 5:1. The reason is because we can provide better customer service.
